DOCUMENT AUTOMATION

From documentsto structured business data.

We automate document intake, classification, information extraction, validation and routing into business systems or human review.

A document is often not the end of a process — it is the source of the next data step.

PDFs, invoices, orders, delivery documents, forms and email attachments often contain information that employees then re-enter into another system. That flow can be structured so documents enter processing automatically and the required data is prepared for the next business step.

Depending on the document type, the solution can use deterministic rules, OCR, document parsing or AI-assisted interpretation. Critical fields and uncertain cases can remain subject to human review.

WHAT IT IMPROVES

Reduce manual retyping from business documents

Document automation works best when the required fields and the downstream business action are clearly defined.

01

Faster extraction

Required fields can be identified and transformed into structured data that downstream systems can use.

02

Validation before posting

Extracted data can be checked against rules, reference data or existing system records before it is sent onward.

03

Controlled uncertainty

Documents that do not match the expected format or have uncertain values can be routed to a person for review.

EXAMPLE USE CASES

Document workflows that can be automated

The right approach depends on document structure, data quality and what the business needs to do next.

Extracting supplier invoice data for an accounting or ERP workflow
Reading order or application data from PDFs and email attachments
Processing delivery documents and status information
Classifying forms, applications and declarations
Automatically naming, tagging and filing documents
Routing uncertain documents to the responsible employee for review
IMPLEMENTATION

Design document automation around data quality

Extracting text from a file is only one step. The important question is whether the resulting data is trustworthy enough for the next action.

01

Analyse document samples

Review formats, quality, languages, variation and the fields required by the downstream process.

02

Choose extraction methods

Select parsing, OCR, rules, AI or a combination based on the actual document characteristics.

03

Validate and control

Define required fields, checks, confidence thresholds and the cases that should be approved by a person.

04

Integrate downstream

Send structured results into ERP, accounting, CRM, database or another system where the process continues.

SYSTEMS & DATA

Documents can arrive through many channels

The solution is designed around the document source, required data and the business system that needs the result.

WHEN IT MAKES SENSE

Document automation is valuable when the same fields are repeatedly read and re-entered by people.

Full hands-off automation is not always necessary. A practical design can prepare the data automatically and request human approval only for unusual documents or values that cannot be determined reliably.

The more consistent the documents and the clearer the validation rules, the larger the share of the process that can usually be automated.

FAQ

Document automation FAQs

Can scanned documents and images be processed?

Yes, when image quality is sufficient. These cases typically require OCR or another visual text-extraction method.

Is AI always required?

No. For structured or predictable documents, deterministic rules are often cheaper and more reliable. AI becomes useful when document variation is higher.

Can extracted data be checked against ERP or another system?

Yes, when the system provides the necessary access. Supplier records, order numbers or other reference values can be validated against existing data.

What happens when a document cannot be interpreted confidently?

It can be routed into a review queue with the already extracted information so a person only needs to correct or confirm the uncertain part.
